The withdrawal process can be completed on the official website of the Employees' Provident Fund Organisation (EPFO). You will need to enter the Universal Account Number (UAN) and password to login to the account.

EPF Withdrawal Online Procedure

In order to withdraw EPF online, you must make sure that your UAN is activated and it is linked with your KYC (Aadhaar, PAN and bank details). If you meet this condition, you can follow the procedure given below to withdraw your EPF online.

Step 1- Sign in to the UAN Member Portal with your UAN and Password.

Step 2- From the top menu bar, click on the ‘Online Services’ tab and select ‘Claim (Form-31, 19 & 10C)’ from the drop-down menu.

Step 3- Member Details will be displayed on the screen. Enter the last 4 digits of your bank account and click on ‘Verify‘

Step 4- Click on ‘Yes’ to sign the certificate of undertaking and proceed further

Step 5- Now click on the ‘Proceed for Online Claim’ option

Step 6- Select ‘PF Advance (Form 31)’ to withdraw your funds online

Step 7 – A fresh section of the form will open, wherein you have to select the ‘Purpose for which advance is required’, the amount required and the employee’s address

It is worth noting that all options for which the employee is not eligible for withdrawal will be mentioned in red.

Step 8 – Tick on the certification and submit your application

Step 9 – You may have to submit scanned documents depending on the purpose for which you have filled the form

Step 10 – Your employer has to approve your withdrawal request after which the money will be withdrawn from your EPF account and deposited in the bank account mentioned at the time of filling the withdrawal form.

An SMS notification will be sent to your mobile number registered with EPFO. Once the claim is processed, the amount will be transferred to your bank account. Although no formal time limit has been provided by the EPFO, the money usually is credited in 15-20 days

  1. Sign up on the Shram Suvidha Portal

    Firstly, sign-up on the Unified Shram Suvidha Portal and a verification link will be sent to your email-id. After verifying, you will be re-directed to a new page for creating your User Id and Password. 
    (Note: Username and Password are case sensitive)

  2. Login to your account

    Next, login to your account by using the credentials used for signing up.

  3. Navigate to “Register for EPFO-ESIC”

    After logging in, go to “Register for EPFO-ESIC” and click on “Apply for New Registration”

  4. List of Acts

    Next, you will be shown the following List of Acts:

    a. Employees’ State Insurance Act, 1948
    b. Employees’ Provident Fund and Miscellaneous Provision Act, 1952

    Select the Act for which you are seeking registration. Select the Act applicable to you. If only one of the Acts are applicable, choose that Act.

  5. Establishment Details

    Further, enter your:

    a. Establishment Name as per PAN
    b. Address of Establishment
    c. Establishment Setup Details
    d. Factory License Details, if any
    e. Start-Up registration number, if any
    f. MSME registration number, if any
    g. Lastly, enter ownership details

    Save draft and click on “Next”.

  6. eContacts

    Next, enter the email address and mobile number of the authorised person.

  7. Contact Persons

    Next, you are required to enter:

    a. Primary Manager details (if any)
    b. Primary Owner details

    Similarly, you can add more owners.

  8. Identifiers

    Now, select any identifier from the dropdown list and fill in the details

    For instance, if you select “Goods and Service Tax Identification”-

    a. Enter GSTIN in “Identifier Value”
    b. Further, enter the name as on the GST Registration Certificate in “Name of Identifier”
    c. Thereafter, enter the date on which the GST Registration Certificate was issued in “Date of Issue”,
    d. Next, enter the name of the issuing authority in “Issued by (Authority) ”, which in case of GSTIN would be Goods and Service Tax Department
    e. Lastly, enter the place where the document was issued in “Issued at (Place)”

  9. Employment Details

    Further, you are required to enter:

    a. Employee details covered under EPF Act (Note, these details are only required for EPFO registration)
    b. Total number of employees employed for wages directly and through immediate employers on the date of application (Note, these details are only required for EPFO registration)
    c. Other common details

  10. Branch/ Division

    After that, enter branch/ division details, if any.

  11. Activities

    Further, select the primary business activity, nature and category of work from the dropdown.

  12. Attachments

    Lastly, upload the documents from the dropdown for proof of address, date of setup proof, license proof.

    Also, upload the specimen signature (Sample format is available on the website).

    Finally, upon filling all the necessary details, you will be required to attach DSC and submit the form. Then, an email will be sent on the registered email address. Moreover, you will also receive the login id and password using which you can login to EPFO and ESIC.

  1. To register the organisation, the employer will need to visit the EPFO portal, which is https://www.epfindia.gov.in/site_en/index.php and click on the option that says, ‘Establishment Registration’.

  3. Clicking on ‘Establishment Registration’ will lead you to the next page, which is https://registration.shramsuvidha.gov.in/user/register, where the manual can be downloaded. The user manual must be read completely by a new user before registration.

  7. Clicking on ‘Sign Up’ will ask for the Name, Email, Mobile Number, and Verification Code to be filled. After these details are filled, click on ‘SIGN UP’ to create your account.

  10. The next page will give you an option called ‘Apply for New Registration’. Clicking on that will give two options called ‘Employees’ State Insurance Act, 1948’ and ‘Employees’ Provident Fund and Miscellaneous Provision Act, 1952’, which can be checked and then click on the ‘Submit’ button

This leads you to a page where the details of the employer such as Establishment Details, eContacts, Contact Persons, Identifiers, Employment Details, Particulars of workers, Branch/Division, Activities, and Attachments are mentioned. All mandatory details that must be filled under each section are displayed with a red asterisk.
  13. The summary of the registration form can be viewed on the dashboard.
  14. Click on the ‘Submit’ button to submit the registration.

  16. This is followed by the employer’s Digital Signature Certificate (DSC) registration. For a fresh EPF registration application, DSC registration is mandatory.

Eligibility for EPF Registration

Employees Provident Fund (EPF) is a scheme that is regulated by the Employees’ Provident Fund Organisation (EPFO) and it was introduced due to the Employees’ Provident Funds and Miscellaneous Provisions Act, 1952. The work culture today depends on the welfare of employees, with employers scrambling to ensure their employees are entitled to the best care and benefits. An Employee Provident Fund is an initiative designed to offer social security benefits to employees of a particular organization, building stronger employee-employer bonds. In order to enjoy these benefits to the hilt, employers need to follow a set of rules and guidelines laid out, with registration forming the first step.

Companies which grow to a strength of 20 members are expected to register themselves within one month from the time of attaining this strength, with penalties applicable for delays in registration. Co-operative societies are expected to register if their employee strength increases to 50 or more and registered organizations continue to be under the purview of the rules and regulations of the Act even if their employee strength falls below the minimum specified number.

Documents Required for EPF Registration Online

Employers are expected to furnish certain documents as proof in order to successfully register EPF. A list of below documents are required for online EPF Registration

  • Copy of partnership deed if the company is a registered partnership firm
  • A copy of the Certificate of incorporation for a Public or Private Limited Company. This should be issued by the Registrar of Companies
  • Societies should furnish a copy of their registration certificate
  • Public and Private Limited Companies need to submit a copy of memorandum and Articles of Association
  • Societies should furnish a copy of the rules and objects of the society
  • All legal documents which might be required under the Income Tax Act
  • PAN details of company
  • Partition deed
  • Proof of incorporation – first sales invoice/ license issued by competent authorities
  • Salary details of employees
  • Balance sheet details
  • PF statement and salary
  • Number of employees that have worked for the organisation for the month
  • In case the organisation has registered for GST, the certificate must be submitted
  • First sale bill
  • Cross cancelled cheque
  • Bank details such as name, branch, IFSC code, and address of the bank
  • Machinery and raw material purchased for the first time

Applicability of EPF Registration for Employers

EPF registration is mandatory for all establishments-

  • which is a factory engaged in any industry having 20 or more persons, and
  • to any other establishment employing 20 or more persons or class of such establishments which the Central Government may, by notification specify on this behalf.

The employer must obtain the registration within 1 month of attaining the strength, failing which penalties will be applicable. A registered establishment continues to be under the purview of the Act even if the employee strength falls below the required minimum.

Central Government may apply the provisions to any establishment employing less than 20 employees after giving not less than two months’ notice for compulsory registration. Where the employer and majority of employees have agreed that the provisions of this act should be made applicable to the establishment, they may themselves apply to the Central Provident Fund (PF) Commissioner.

The Central PF Commissioner may apply the provisions of this Act to that establishment after passing the notification in the Official Gazette from the date of such agreement or from any subsequent date specified in the agreement. Some establishments having less than 20 employees would also be required to obtain PF registration but that is voluntary registration.

All the employees will be eligible for a PF from the commencement of their employment and the responsibility of deduction & payment of PF lies with the employer. The PF contribution of 12% should be divided equally between the employer and employee. The employer’s contribution is 12% of the basic salary. If the establishment has employed less than 20 employees, the PF deduction rate will be 10%.

EPF Registration Procedure

The employer must register the establishment online. With the convenience of online registration the employer can register the establishment by providing the following details:

Establishment details

  • The establishment details to be provided are the Name of the establishment, Address, Incorporation Date, PAN and Type of establishment.
  • If the establishment is a factory then the details to be provided are the Factory License Number, Date of License and Place of issue of License.
  • If the establishment is an MSME then MSME registration details to be provided.

eContacts

The employer must provide email id and mobile number of the authorised person.

Contact Person

Employers must provide details of the contact person like a manager. The details required are: Name, Date of Birth, Gender and Contact details.

Identifiers

The identifiers are the license information that the employer needs to provide.

Employment details

The employment details required to be provided are the Employee strength, Gender, Type of activities, Wages above limit and Total wages.

Branch/Division

Branch details such as name/premise number and address.

Activities

The employer needs to select the type of business and the activities included from the drop down lists available.

Steps For EPF Registration for Employers

The employer needs to follow the below-mentioned steps:Step 1: Register Organization with EPFO

Visit the website and register the organization with EPFO. In the home page of the Unified portal, there is an option called “ESTABLISHMENT REGISTRATION”.

Step 2: Read the User Manual

Click on the “ESTABLISHMENT  REGISTRATION” and you will be taken to the next page where you can “Download Manual”. A new user must download and read the instruction manual completely before the registration.

Step 3: Register On USSP

After reading the manual, the employer needs to sign up on the USSP (Unified Shram Suvidha Portal) of EPFO. The “ESTABLISHMENT REGISTRATION” button on the homepage of the EPFO website will open the USSP sign up page. You will need to click the “SIGN UP” button and provide Name, Email, Mobile Number, and Verification Code and create your account.

Step 4: Fill Registration Form

The employer needs to login to the USSP and select the “Registration For EPFO-ESIC” button present on the left-hand side of the screen. Next, select the “Apply for New Registration” button on the right side of the screen.

Two options will appear, i.e. “Employees’ State Insurance Act, 1948” and “Employees’ Provident Fund and Miscellaneous Provision Act, 1952”. The employer will need to select the “Employees’ Provident Fund and Miscellaneous Provision Act, 1952” and click on the “Submit” button.

Upon clicking the “Submit” button the “Registration Form for EPFO” page will open and the employer needs to fill in the Establishment Details, eContacts, Contact Persons, Identifiers, Employment Details, Branch/Division and Activities.

Step 5: Attach DSC

After filling all the “Registration Form for EPFO” and attaching the relevant documents, the employer’s Digital Signature Certificate (DSC) is to be uploaded and attached to the form. Once, the DSC of the employer is uploaded, the employer will receive an email from Unified Shram Suvidha Platform with a confirmation that the EPFO registration has been completed.

Documents Required For EPF Registration

The following documents need to be attached to the “Registration Form for EPFO” by the employer- 

  • PAN Card of the Proprietor/Partner/Director.
  • Proof of address such as the Electricity Bill or Water Bill or Telephone Bill of the Registered Office (not older than 2 months).
  • Aadhar Card of Proprietor/Partner/Director.
  • Shop and establishment Certificate/GST Certificate/ any License issued by the government for the establishment.
  • Digital Signature of the Proprietor/Partner/Director.
  • Cancelled Cheque or Bank Statement of Entity.
  • Hired/Rented/Leased Agreement, if any

In terms of returns from a debt instrument, EPF certainly stands tall. The money is sovereign-backed and the interest earned is tax-free. In fact, it enjoys the Exempt, Exempt, Exempt (EEE) status as contributions are deductible from income. There is hardly any debt product that gives such high return with safety and assurance. Therefore, it’s better to transfer the PF account at the time of switching jobs and avoid the temptation to withdraw the amount.
